• Provides daily administrative support to the department, and photocopy service when necessary.
• Delivers urgent correspondences within and outside the department, as well as records and tracks daily incoming and outgoing communication in the department.
• Prepares weekly, monthly, quarterly and annual data analysis reports as required.
• Manages and maintains executive schedules and ensures that logistical arrangements are made for meetings, site visits, assists and welcomes visitors, arranges conference calls, and schedules meetings.
• Acts as the primary contact of the department and ensures all calls, appointments, booked meetings, inquiries are properly delegated or relayed to immediate personnel.
• Enters and reviews data from source documents into prescribed computer database, files and forms, or re-enter data in verification format to detect errors.
• Prepares back-ups of all data information ensuring archival of the data entered, as well as locates and corrects data entry errors or reports them to supervisors.
• Presents data in graphs and charts for the best utilization of the information.
• Prepares requisition of office supplies, equipment maintenance and follows up requests.
• Performs other job-related duties as required.
