Job Requirements

Education: Associate Diploma or in related field - Essential Bachelor's degree in business Administration - Preferred Work Experience: Minimum of three (3) years working experience in office administration or secretarial position English Language skills: IELTS: 6, STEP: 75, or TOEFL: (PBT: 500) (IBT: 61) - Other Skills: English Typing Speed: 50wpm For Arabic speakers: Arabic Speed: 40wpm

Job Responsibilities

- Performs and provides daily administrative support for the department . - Act as the primary contacts of the department and ensures all appointments or booked meeting are properly delegated or relayed to the immediate personnel . - Answers/ receives all incoming calls . - Manage the routine daily inquiries and refer the right personnel for immediate action. - Prepares/ transcribes correspondence , attends and prepares minutes of meeting, facilitates committee meeting and formulates committee formation orders as required. - Liaise with local organizations regarding academic and professional activities . Attends to all details related to this activities . - Establish and maintain database and filing system both electronic and hard copy. - Maintains committee files as required . - Ensures maintenance of departmental committee reports as required . - Willing to be assigned to shift work and overtime, during the working week or at weekend . - Ensures that logistical arrangements are made for meetings , site visits, etc . - Demonstrates initiative in the performance of duties , requiring a minimum of supervision . - Prepares reports, and manage special projects as assigned : supervises a weekly preparation reports. - Maintains confidentiality at all times. - Ensures quantities of office supplies are maintained. - Performs other job related duties as required.
